Position Summary:
The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and agency/institution policy.
Essential Duties and Responsibilities:
Researches and analyzes data pertinent to work programs and/or agency/institution goals and objectives and prepares reports explaining findings.
Assists in developing or revising policies, procedures, and directives based on research findings; submits to supervisor for approval.
Compiles financial information used by supervisor to formulate budget proposals and monitors expenditures to ensure optimum operating efficiency.
Reviews and answers or prepares correspondence relating to agency/institution programs.
Interprets agency administrative directives, policies, and procedures to ensure consistent application.
Provides information, assistance, and clarifications to interested parties concerning agency/institution programs, policies, and procedures.
Assists supervisor by maintaining leave records, appointment calendar, and prioritizing incoming correspondence.
May supervise small to medium-sized administrative support staff and evaluate the work performance of incumbents.
Performs other duties as assigned.
ADMINISTRATIVE SPECIALIST III DEPARTMENT OF STUDENT CONDUCT
Front-facing customer service excellence for the Division of Student Affairs.
Coordinate front-desk operations including phone calls, in-person visitors, and student employee oversight for the Division of Student Affairs. Front-desk operations will require the employee's in-person presence Monday-Friday from 8:00 AM to 5:00 PM.
Assist with the Campus Safety Questions Review Committee's (CSQ) correspondence (emails and letters).
Duties would include detailed and accurate letter creation, email correspondence, document scanning, file maintenance, data entry, fielding phone calls, and collaboration with the Admissions Office. CSQ related tasks will encompass approximately 10-15% of the employee's time.
Facilitate preparations for the Student Affairs Conduct Board sessions and Title IX hearings as needed.
Duties would include file and agenda creation using Maxient software and coordination for hearing participants.
Hearing preparation duties will encompass approximately 5-10% of the employee's time depending on the caseload.
Serve as the contact person for background investigations by Federal, state, and private employers and entities.
Duties would include conducting comprehensive academic and conduct reviews of current and former students and FERPA release record management.
Preparation of requisitions, travel documents, supply inventory/ordering, and other paperwork that requires adherence to and accurate interpretation of policy guidelines and procedures.
Paperwork related tasks will encompass approximately 15-20% of the employee's time.
Assistance with special event preparation as needed by the Associate Vice President of Student Affairs and Title IX Coordinator.
Knowledge, Skills, and Abilities:

Minimum Requirements:
The formal education equivalent of a high school diploma; plus one year of specialized training in business management, business education, or a related field; plus three years of experience in specialized or a related field applicable to work performed.
Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management.

Preferred Qualifications:
Bachelor's Degree.
Experience in Customer Service.
Experience in the use of Microsoft Office suite, including Microsoft Word, Outlook, Excel, and PowerPoint.
Experience in reception desk work.
Date entry experience.
Experience working with confidential records and sensitive information.
Work Location, Environment, and Physical Demands:
Position is required to maintain office ours within the Office of Residence Life during normal business hours (Monday-Friday 8:00am-5:00pm).
